Greenwich Property: Responsive and Cyclical Maintenance Service

The updated maintenance buy back scheme has been running for over 3 years and the fees and charges remain the same and take in to account the following factors:

  1. The needs of the School to remain legally compliant
  2. Ensure that the total scheme remains within the previous overall fee
  3. Budgetary constraints on the Maintenance Team
  4. Align the scheme to the two new Term Maintenance Contracts

Services

Changes

The main changes are as follows:

  • Simplified and bundled services in to 2 packages (Mechanical & Electrical and Building Fabric)
  • Continuing to provide free technical advice to schools by phone and email, but introducing a charge for the Maintenance Team visits to site when requested by the school
  • Introduction of an administration charge for disputed invoices where the dispute is not upheld
  • Cyclical Maintenance (PPM) has been much improved from previous years and Royal Greenwich have a dedicated team who monitor all compliance elements.  Orders are raised ahead of time to ensure the schools remain statutory compliant, taking the emphasis from the PM who would previously need to instruct the maintenance team and potentially delaying.  We encourage those that buy back into our services to use it at the fullest; however do understand that not all schools use our PPM service.  Those that do not wish to use this function should opt out of the PPM service on the buy in form
  • A member of the maintenance team will have a 6-monthly call (via Teams, phone call or site visit) with either the Business Manager or Premises Manager to review issues experienced by the site
Maintenance team site visits

The usual process for arranging completion of work at a school is to register the issue with the helpdesk on 020 8921 6000.  They will ensure that the appropriate contractor is tasked to attend and rectify the issue; however should you require one of our maintenance team to attend and give advice on an issue there is a small hourly charge for their attendance.   This charge is being introduced to cover staff costs of making visits to site and is commensurate with general practice in this industry. The team will remain available to give advice by email and/or telephone at no charge. 

Service Packages

We have combined the buy-back services into two packages at the same overall annual cost as previous years.  The below details some of the services included, but is not an exhaustive list of what can be offered.

Mechanical and Electrical package

Services include:

  • Heating and ventilation systems
    • Management of servicing of boilers, burners, heating and hot water plant, ventilation, air conditioning, pressuring units, filters, and controls operating this equipment
  • Electrical installations, maintenance and repairs
  • Management of the inspection and testing of lighting, power, wiring, plug sockets, switches, fuses and junction boxes, and alarm systems
  • Servicing of fire and intruder alarms including CCTV and access control systems
  • Checking 10% of works to ensure completion to the correct standard
  • Mechanical and electrical advice provided by telephone and email


Building Package

Services include:

  • Repairs to building fabric including roof, walls, windows, ceilings, insulation, external cladding, floors and coverings
  • Water supply, sanitary fittings and elements outside the buildings such as playgrounds, safety surfaces, fences and shelters
  • Legionella assessment - management of the treatment of water systems including tanks
  • Checking 10% of works to ensure completion to the correct standard
  • LOLER & PUWER
  • Build fabric advice provided by telephone and email

Costs

Mechanical and Electrical package:
  • £500 per annum one off administration fee
  • 20% management fee on all works (20% of the cost of the works)
  • Royal Greenwich maintenance staff visits when requested by sites ~ £60 for the first hour and £40 for every subsequent hour, per visit
  • Disputed invoice administration fee - 20% of order (waived if dispute upheld)
Building Fabric package:
